126 Facility Reservation Policy
Policy Statement
Murray State College provides campus facilities and outdoor spaces for use by students, faculty, staff, and community members in support of the College’s educational mission. To ensure equitable access and orderly scheduling, facility and space reservations are prioritized based on the order in which complete and approved requests are received, in accordance with established College procedures and applicable policies.
Procedure
- Reservation Request

To reserve any college indoor facility, outdoor space, or food service:
- Individuals or groups must complete the Activity Request Form (available on the MSC Commons/MSC Forms site).
- Reservation requests should be submitted as early as possible to allow for processing and coordination.

- Scheduling Priority

- Reservation requests are processed in the order received once all required forms and approvals have been completed.
- A reservation is confirmed only after written or electronic approval is issued by the appropriate College office.
- Conflict Resolution

- If a requested space is unavailable due to a prior reservation, College staff will assist in identifying:
- An alternative space available at the requested time, or
- A suitable alternative date and time
- If an unscheduled activity conflicts with a scheduled event, the unscheduled activity must cease or be relocated.

- Cancellation and Relocation

- The College may modify, relocate, or cancel a reservation if:
- The event conflicts with essential College operations or previously approved activities.
- Safety, security, or property concerns arise.
- In such cases, every effort will be made to identify an appropriate alternative.

- Additional Requirements

- Failure to submit complete setup and logistical details at least two weeks in advance may result in limited access or additional fees.
- Users are responsible for leaving facilities in clean, undamaged condition following use.
