15 Board of Regents Meeting Electronic Device Usage Policy

Policy Statement (Board Approval 12/12/23)

The purpose of this policy is to establish guidelines and expectations for the use of electronic devices during Murray State College Board Meetings. This policy aims to ensure that Board Meetings are conducted efficiently, respectfully, and without distractions, while also promoting open and effective communication among board members.

Procedure

  1. Prohibition of Electronic Devices Campus
    1. Electronic communications (ex. cell phone usage) by board members is prohibited during Murray State College Board Meetings, except in cases of emergency or when prior approval has been granted by the Chair of the Board or presiding officer.
    2. Board members are required to silence or turn off their electronic devices before the start of the meeting.
  2. Emergency Use of Electronic Devices
    1. Electronic communications (ex. cell phone usage) by board members is prohibited during Murray State College Board Meetings, except in cases of emergency or when prior approval has been granted by the Chair of the Board or the presiding officer.
    2. Board members are required to silence or turn off their electronic devices before the start of the meeting.
  3. Approval for Specific Electronic Device Use
    1. Board members who anticipate the need to use an electronic device for a specific purpose during a Board Meeting, such as accessing relevant documents or information, must seek prior approval from the Chair or presiding officer.
    2. The Chair or presiding officer will determine whether the proposed electronic device use is appropriate and whether it will disrupt the meeting.
  4. Enforcement
    1. Board members are expected to adhere to this policy. Violations may result in a verbal warning or other appropriate actions at the discretion of the Chair or presiding officer.
    2. Repeated violations of this policy may be addressed through the Board of Regents policies.
